How to use The Dog Vault.

A complete walkthrough for setting up your kennel, publishing listings, tracking health records, managing inquiries, and growing your program on the platform.

1. Getting Started

The Dog Vault gives every kennel a professional public page, a private dashboard, and the tools to run listings, health records, and inquiries in one place.

    Pick a plan

    Visit Pricing and choose the tier that fits the size of your program. You can start with Single Seller (up to 5 dogs) and upgrade any time as you grow.

    Create your account

    Click Start your Dogvault, sign up with email or Google, and verify your account. You'll land in the Seller dashboard.

  3. 3

    Complete kennel setup

    Open Seller → Setup. Add your kennel name, public slug (thedogvault.com/b/your-slug), location, logo, cover image, contact email, and a short bio. This is the first thing buyers see.

Pro tips

  • Choose a slug you'll keep long-term — it becomes part of your public URL.
  • Use a high-resolution logo (square, transparent PNG is best).

2. Your Public Kennel Page

Every account gets a polished public page at thedogvault.com/b/your-slug. Buyers see your available dogs, produced dogs, testimonials, and contact form — no website builder needed.

    Customize the hero

    Upload a cover photo and write a 1–2 sentence tagline that describes who you breed/train for. Strong, honest copy converts.

    Pin your best work

    Feature your strongest current litter or available dog at the top so buyers see your standard immediately.

    Preview before sharing

    Click Preview Public Page from your dashboard to see exactly what a buyer sees before promoting the link.

3. Creating a Dog Listing

Listings are the heart of the platform. Each dog gets a structured profile with photos, video, pedigree, evaluations, pricing, and status.

    Add a new dog

    Seller → Listings → New Dog. Enter call name, registered name, DOB, sex, breed, color, and weight.

  2. 2

    Upload media

    Add 5–10 sharp photos and at least one video clip. Drag to reorder; the first image is the card thumbnail.

  3. 3

    Pedigree & ratings

    Fill in sire and dam, then set honest drive/temperament ratings (nerves, social, prey, defense, hunt, environmental). Buyers trust kennels that rate accurately, not perfectly.

    Pricing & status

    Set price (or POR), deposit amount, and status: Available, Pending, or Placed. Status updates show instantly on the public page.

    Publish

    Toggle Published and save. The dog appears on your kennel page and in the global marketplace.

Pro tips

  • Video sells. Even 15 seconds of obedience or bite work converts better than 20 photos.
  • Be honest about weaknesses — serious buyers respect it and casual buyers self-select out.

4. Health & Vaccine Records

Track every vaccine, vet visit, and health milestone per dog. Buyers can view a clean summary; you keep the full backend record.

    Open the health tab

    Inside any dog profile, click Health & Vaccines.

    Log vaccines

    Add vaccine type (DHPP, Rabies, Bordetella, etc.), date administered, vet/clinic, and next due date. The system tracks the schedule for you.

    Add health checks

    Record OFA/PennHIP results, eye certifications, DNA panels, deworming, and any vet notes. Upload PDFs or photos of certificates.

    Share with buyers

    A clean, buyer-facing summary appears on the public dog profile. The full backend stays private to you.

5. Managing Inquiries

Every contact form, lead capture, and dog inquiry routes into one inbox so nothing gets lost in DMs or email.

    Check Seller → Inquiries

    New leads appear at the top with the dog they asked about, contact info, and their message.

  2. 2

    Reply directly

    Respond in-platform or use the contact info to call/text. Mark leads as New, Replied, Qualified, or Closed.

  3. 3

    Track conversions

    When a lead becomes a buyer, link them to the dog and update the dog status to Pending or Placed.

Pro tips

  • Reply within 24 hours — speed alone wins most placements.

6. Produced Dogs (Your Track Record)

Produced Dogs is your verifiable history — dogs you've bred or trained that are now working, titled, or placed. This is what proves the quality of your program over time.

    Add a produced dog

    Seller → Produced → New. Include name, photos, what they're doing now (sport, PPD, LE, family), and the owner/handler (with permission).

  2. 2

    Link to the litter

    Tie each produced dog back to its sire/dam so visitors can see the bloodline's results.

  3. 3

    Keep it current

    Add new titles, certifications, and placements as they happen. This becomes your strongest sales tool.

7. Testimonials & Evaluations

Honest client feedback and trainer evaluations build long-term trust.

    Request a testimonial

    Send your client the testimonial link from Seller → Testimonials. They submit text, photo, and optional video.

  2. 2

    Approve and publish

    Review submissions before they go live. Approved testimonials appear on your kennel page and (optionally) on the linked dog's profile.

8. Marketplace & Visibility

Published dogs automatically appear in the global Marketplace at thedogvault.com/marketplace, giving you exposure beyond your direct traffic.

    Optimize for search

    Use accurate breed, age, sex, drive ratings, and pricing — buyers filter on these.

  2. 2

    Share your kennel link

    Put thedogvault.com/b/your-slug on Instagram, Facebook, business cards, and email signatures. One link replaces a website.

9. Billing & Plan Changes

Manage your subscription from Seller → Account → Billing.

    Upgrade or downgrade

    Move between Single Seller, Kennel, and Pro at any time. Limits adjust immediately.

  2. 2

    Update payment method

    Add or change cards in the secure billing portal.

  3. 3

    Cancel

    You can cancel anytime. Your public page stays live until the end of the current billing period, then unpublishes — your data is retained for 60 days in case you return.

Common questions

Can I move my existing kennel website over?+

Yes. Most kennels rebuild their site on The Dog Vault in an afternoon — listings, photos, and bios all migrate by hand into structured profiles.

What happens to my dogs if I cancel?+

Your public page unpublishes at the end of your billing period. Your data is retained for 60 days so you can reactivate without losing anything.

Can multiple people manage one kennel account?+

Kennel and Pro plans support multiple team members so trainers, breed managers, and assistants can all post and reply to inquiries.

Do you take a cut of sales?+

No. Your subscription is your only cost. Deposits and final payments go directly between you and the buyer.

Is my data private?+

Yes. Health backend, inquiries, and lead contact info are private to your account. Only the buyer-facing summary on the dog profile is public.
